Google Apps for Education at Hathaway Brown - FAQs

Transition to Gmail begins September 4, 2012. 

Hathaway Brown School is transitioning our email system to Google Apps for Education. 

If you have any questions or concerns about the transition not covered here, please email ITDept@hb.edu.

What is the current transition schedule?

All students will be transitioned to GMail the week of September 7th, 2012.  Students will receive an email with more information.

Here is the schedule by class year:  

Class 2013:  Tuesday 9/4
Class 2014: Tuesday 9/4
Class 2015: Wednesday 9/5
Class 2016: Wednesday 9/5
Class 2017:  Thursday 9/6
Class 2018:  Thursday 9/6
Class 2019:  Thursday 9/6
Class 2020:  Thursday 9/6
Class 2021:  Friday 9/7

Existing faculty and staff will be transitioned throughout the fall.  More detailed information on this process will be provided in the coming weeks. 

How to I get to HB's Gmail?

Go to https://mail.google.com/a/hb.edu to login.

You cannot access your email through the Google mail address that you might be used to: gmail.com.

Why did we choose Google Apps for Education?

As we searched for a replacement for our current email system, it quickly became clear that moving our mail to Google Apps for Education was the solution we had been looking for.  Google Apps for Education provides a feature rich suite of communication and collaboration services that are available “anytime, anywhere” through a reliable and safe platform.   Additionally, our students and many of our faculty and staff are already successfully using Google Apps for Education for collaborative learning and online file storage.   Considering the above, the decision to move our mail services was a natural choice, rounding out a powerful suite of cloud based tools.  Not to mention, Google offers these services free to schools. 

Google Apps for Education will provide us with improved communication and collaboration tools, increased mail storage, online file storage, lower costs, and with Google as a partner, the resources and means to implement new technologies faster.   In addition, these services are available from any internet connected device – computer, ipad, phones – twenty-four hours a day.

Besides features, usability and access, the security and privacy of Google Apps for Education was also reviewed during our investigation.   We found that Google Apps for Education takes these issues very seriously and adheres to many industry best practices for protecting their services and our data.  The Google Apps for Education detailed privacy policy is available for your review here http://www.google.com/apps/intl/en/edu/privacy.html

Will my email address change?

Your email address will not change.  It will continue to be an hb.edu address.

Will our students require any special permission?

In order to comply with COPPA, all middle school students and primary school students in grade four will be asked for parent permission before we issue their accounts.  We will mail the necessary paperwork to families this summer. 

Will my email be down during this transition?

There should be no downtime during the transition.  Once you are given your new account, mail will be redirected to your new Gmail account, and you can begin using the new account immediately.

Will I be able to keep my old email messages?

Yes.  If needed, you will be able to transition your current email to the new system.

Can I still use Microsoft’s Outlook or another email client?

Yes, you can continue to use Outlook or your current email client.  Once your account has been transitioned, you will need to modify account settings to connect to the new system.  Once these changes are made you can continue to use your existing client just as you now do.  We will provide more information in the fall.

Will my phone or iPad still be able to get my email?

Yes.  Once your account has been transitioned, you will need to modify account settings to connect to the new system.  Once these changes are made you can continue to use your device just as you now do.  We will provide more information in the fall.

Will HB WebMail still be available?

Once you have been transitioned to Gmail, you will no longer need to access the current HB WebMail system.  You will still be able to access your email on the web, just as you currently access HB WebMail. Gmail will be the new HB WebMail.

Will shared contacts still be available?

Yes.

Will I still have a Barracuda Spam account?

Yes, at least during the transition phase, faculty and staff will maintain their Barracuda spam account, and student spam accounts will continue to be maintained by the school.  Additionally, Gmail has a spam filter which will also scan your email.  We will be evaluating our spam technology after the transition is complete.

Do I need to do anything to get ready for this change?

More detailed information will follow this fall.  In the meantime, we encourage you to do some routine email cleanup – remove files and folders you no longer need.  The fewer files and folders you have, the faster and simpler the transition.

What are some of the features of Google Apps for Education?

I already have a Gmail/Google account for home use, how is this different?

You can continue to maintain your private/home Gmail accounts.  We will issue you a new account within Hathaway Brown School’s Google Apps for Education site.  These will be education accounts and not consumer accounts.  There are differences between these types of accounts - for example there are no advertisements in Google Apps for Education.  The site will also be controlled by the school, so features available in the consumer version may not be available in our site and vice versa.
